What is Online Check-in?
Online check-in refers to the digital process where guests provide necessary information, complete required documentation, and settle payments through a secure online portal prior to their arrival. This typically includes submitting identification, electronically signing rental agreements, and providing security deposit details.
The primary purpose is to automate and digitize the administrative steps of the check-in process, reducing or eliminating the need for an in-person meeting.

How it works
After a booking is confirmed, the host automatically or manually sends the guest a link to an online check-in form. The guest uses this form on their computer or mobile device to upload images of their ID, fill out personal details, and digitally sign the rental agreement and house rules.
The system may also prompt them to complete a payment or pre-authorize a security deposit. Once all required steps are completed and verified by the system or the host, the guest automatically receives their arrival instructions, which often include access codes for a smart lock or key safe.
Why it matters
Online check-in significantly enhances the guest experience by offering convenience and flexibility, eliminating the need to coordinate arrival times or wait for a host. For property managers and hosts, it streamlines operations, saves administrative time, and ensures all legal and security requirements are met before the guest gains access to the property.
This automation improves operational efficiency, reduces human error, and contributes to a more professional and secure hosting process.
Examples
- A family traveling to a ski chalet receives an email a week before their trip. They use their phone to upload their IDs and sign the rental agreement, and two days before arrival, they automatically receive the code to the smart lock, allowing them to arrive late at night without needing to meet the host.
- A property manager overseeing 20 urban apartments uses online check-in to standardize her process. All guests complete the online form, which includes verifying their identity and acknowledging house rules, ensuring consistency and compliance across all units without staff having to be present at each location.
- A host of a beachfront condo requires a security deposit. Through the online check-in portal, the guest's credit card is pre-authorized for the deposit amount before arrival, simplifying the financial transaction and securing the property against potential damages.
- Before a stay at a rural cabin with limited cell service, the host's online check-in process provides the guest with a downloadable digital guidebook, detailed driving directions, and the key-safe code, ensuring they have all necessary information saved on their device beforehand.
